The Secretary of State Archives Division, in consultation with the Records Conservation Board, the Supervisor of Records, and the Executive Office of Technology Services and Security have issued the Joint Records Conservation Board/Supervisor of Records Bulletin 01-22 Digitizing Records (PDF) with FAQs related to your responsibilities when digitizing records regarding retention requirements, security, and backup expectations. This document provides additional information to the previously issued Joint Records Conservation Board/Supervisor of Records Bulletin 01-21 Security and Custody of Records (PDF).

Please ensure that your department includes these requirements as part of its records management and cybersecurity internal controls, annual budget requests, and day-to-day operational procedures. Records must be retained in accordance with retention requirements and protected from inappropriate access, theft, destruction, and cyber incidents.
