MMARS UDOC Acceptance End Date Extended to January 30; Freeze on Adding New Roles Moved to February 23 – March 16
The deadline to identify users for conversion to Mosaic closed on December 19, 2025. Users not included by that date may be added at go-live by a Department Security Officer (DSO).
Departments that must add new MMARS users or roles for work required by February 11 must submit UDOCs no later than Friday, January 30.
MMARS user updates made after December 19 will not automatically convert to Mosaic. DSOs must create new users and modify roles directly in Mosaic. Please note the freeze below on adding new roles.
At go-live, there will be a freeze from February 23 to March 23 on adding or modifying roles for converted Mosaic users. Departments were assured that users would be converted with comparable Mosaic security roles. As a result, converted users should not require new roles at go-live and are asked to test their converted Mosaic roles during this period.
UDOCs for new roles for converted Mosaic users will be rejected, unless:
-
DSO and Chief Financial Officer certify and provide proof of emergency
-
UDOC is for MMARS role added before December 15 but was not migrated to Mosaic (roles added after December 15 are not guaranteed in Mosaic)
-
Converted Mosaic roles do not match MMARS roles

Your Internal Control Officer (ICO) should review your written system of internal controls to ensure it is current and supports these training compliance goals. Your ICO can also help verify that the department head is accurately certifying compliance in the annual Internal Control Certification.
