Mosaic Compliance Tips for Department Security Officers (DSOs)

A key 2027 internal control requirement is ensuring all staff have access to and actively use CTR-published job aids and resources as part of daily operations.

PowerDMS is the official repository for the Office of the Comptroller policies, job aids, statewide learning materials, the Expenditure Classification Handbook, and the Revenue Handbook. Ensure your Mosaic users have access to both the CTR Intranet and PowerDMS and use these resources regularly.

Department Security Officers (DSOs) should also use the Mosaic Security resources available in PowerDMS. Many transaction errors and delays occur when job aids are not used as checklists, resulting in skipped steps or inaccurate information.

To reduce delays and rejections of Secure Application Requests (SARs) and UDOCs for Mosaic security:

  1. Complete both UDOC approval steps. Process the UDOC to Pending, then move it to your personal worklist to review and approve it for final CTR review.
  2. Verify SAR information. Confirm the user’s full HR/CMS name, correct email address, and numeric Mosaic User ID, not the older MMARS UAID (alpha).
  3. Use Populate from Existing User. For users with an existing Mosaic profile (not a new user), use this option to pull current information into the UDOC.
  4. Review comments. Check for comments (red dot at the top), which may include not only rejection reasons but also role adjustments and recommendations for future UDOCs.
  5. Update access after user changes. Name, email, phone, or department changes can cause a user’s Mosaic connection to become out of sync. Follow the job aids to restore the connection when these changes occur.
